HR Administration Essentials

Signature Course No. 165 — A Signature AI Socratic Coaching Course.

An agentic, mastery-based AI learning platform.

A New Kind of Learning

Socratic coaching, delivered by an agentic AI coach.

Not a course you watch. An AI coach you work with.

The Lighthouse Coach begins by discovering how you think about the subject, teaches what is missing, and gives you realistic practice before asking you to prove that you can use it. You may test out of concepts you already understand, while capstones turn the learning into a practical plan, decision, conversation, or other real-world result.

The curriculum is deliberately authored; the AI delivers it through coaching. It is not an AI randomly generating lessons.

Meet The Lighthouse Coach

A coach that teaches by asking — not by lecturing

The Lighthouse Coach is an AI Socratic coach built on Cognosco Learning's HR Administration Essentials course, in the People, Culture & Engagement category. It does not play videos at you. It holds a conversation: it asks you a question, listens to your answer, names the misconception it hears, affirms what you got right, and asks the next question — the way a great coach works in the room.

This is the course for office managers and administrators who have inherited the HR paperwork in a small organization — for new HR assistants and coordinators building their foundation, for founders and owners whose headcount has outgrown memory and goodwill, for payroll and finance assistants, and for team leads given admin duties.

It works in the order the paperwork actually runs. First, Module 1 — Records That Hold Up — work through Concepts 1–9, finishing with The File Room Audit; then, Module 2 — Systems That Run Themselves — work through Concepts 10–18, finishing with The Quarter-End Close.

You finish by proving the whole course — in The File Room Audit and in The Quarter-End Close. You can type your answers, or talk out loud: the Voice Coach speaks its questions and listens to your spoken replies, hands-free.

The course is self-paced and always on — roughly 30 minutes per concept, about 9 hours in full, taken in as many sittings as you like. Learners who already know the material can test out concept by concept.

The stance throughout is the administrator's stance: administer accurately, document at the moment the event happens, and hand any judgment call to the person who owns that decision, with a clean and complete file.

Every concept is practised on one running company — its files, its pay runs, its leave balances, and its deadlines — so every figure you handle is real, checkable, and reconciles with every other.

Both capstones produce real artifacts — a file-room audit with a corrected register, and a quarter-end close pack a manager or owner can sign — written to be used on real records, not just filed in the course.

This is the one hundred and sixty-fifth course in The Lighthouse Signature Series — the online counterpart to the one-day, in-person learning Cognosco Learning has delivered since 2002.

The Method

Diagnose → Learn & Practice → Prove → Capstone

Every learner moves through the same discipline a Cognosco instructor would insist on in the room.

1

Diagnose

The Coach starts where the course starts: with the record itself. A record you cannot find, prove, or reconcile is a promise you cannot keep. Every concept opens with three questions that locate where you actually stand, and your answers shape how deeply the Coach works the concept with you. Everyone begins with Module 1 — no skipping the foundations you only think you have.

2

Learn & Practice

Work each concept in conversation with the Coach — spoken or written — then practice it against realistic situations until it holds up.

3

Prove

Every concept ends in proof: answer the check cold and demonstrate the skill. Know it already? Test out and take credit immediately.

4

Capstone

Finish with two capstones — The File Room Audit for Module 1 and The Quarter-End Close for Module 2 — that pull the whole course together, and earn the certificate.

The Course Content

What You'll Learn

Every organization makes two sets of promises. The first set is spoken: the offer, the welcome, the manager's assurance that the hours, the pay, the leave, and the benefits will work as described. The second set is written: the employee file, the timesheet, the pay record, the leave balance, the acknowledgment, the calendar that says when each obligation falls due.

When the two sets agree, nobody notices the paperwork at all — and that invisibility is the sign the administration is working. When they disagree, the written set is the only one that can settle the argument, and by then it is too late to write it.

This course teaches you to run the written set. Build and keep a complete employee file. Move a person from accepted offer to confirmed start without losing a document on the way. Record time so the hours can be proved, not just asserted. Prepare, check, and close a pay run. Track leave balances that reconcile.

Then administer the accounts around the person: benefits enrolment and life-event changes inside their windows, policy acknowledgments collected so they can be found when needed, and a compliance calendar that surfaces every deadline while there is still time to meet it.

Then systematize it: onboarding and offboarding as closed-loop checklists, one system of record everyone trusts, corrections that preserve history instead of erasing it, privacy and retention handled on purpose, reporting done from the records, and a weekly, monthly, and quarterly routine that keeps the whole layer accurate without heroics.

What you will learn

  • Build and maintain a complete, findable employee file for every person
  • Run start, change, and leaver paperwork as closed-loop checklists with no step left to memory
  • Record time, pay inputs, and leave so every figure can be proved from a source document
  • Administer benefits enrolment, policy acknowledgments, and life-event changes accurately and on time
  • Hold a compliance calendar and a weekly-to-quarterly routine that surfaces every deadline early
  • Keep one trustworthy system of record — correcting errors openly, controlling access, and retaining records on purpose

Who It's For

Built for the person the paperwork lands with

HR Administration Essentials is for office managers and administrators — who have inherited the HR paperwork in a small organization, often alongside three other jobs — for new HR assistants and coordinators building the disciplined foundation every later specialty stands on,

for founders and owners of growing businesses — whose headcount has outgrown memory and goodwill — for payroll and finance assistants who touch pay, deductions, and reporting from the numbers side, and for team leads given admin duties, who collect timesheets, approve leave, and chase paperwork.

Administration is the art of making the count, the file, and the payment agree. One person, one record, one source of truth — every figure provable from a source document.

This is a People, Culture & Engagement course. It assumes no prior HR qualification and no legal background. It assumes you can keep a list, check a figure, write a clear note, and ask for help at the right moment.

Everything else is built here, concept by concept, on one company you will come to know very well.
